Design Competition Organization Contract

Home > Get Involved > Organize > Contract

The Design Competition Organization Contract covers terms and agreements of design competition organization as well as provides an overall structure of the awards. The agreement should be developed together by the Client (Organizer) and the A’ Design Award and competition after an initial consultancy session. The initial consultancy session is not free and there is a nominal fee, however all questions regarding the competition organization are answered. Below is not the complete contract, but given to provide a basic insights about our service.

Construction Phase - Definitions

I. Core Communication Components
These define the design competition in a basic way, providing background and language for addressing the competition. This section shall be filled by Client and the A' Design Awards.

Name ________________________ The short name of the accolades, is used for logo creation, domain purposes and other motives.
Title ________________________ Longer name of the design competition for official purposes, terms and agreements or other communication.
Subtitle ________________________ Short tag-line about the design competition, defines the primary vision or mission.
Description ________________________ Designed to give insights regarding the competition, an executive summary of the event, organizers, prizes and brief.
Keywords ________________________ Based on target participant profile and competition categories, keywords to highlight and attract participants.
Tagline ________________________ Official tagline to be used, could include a call to action or excerpt from brief.
Call to Action ________________________ A short sentence that communicates why designers should join the competition.
Frequency ________________________ Repeat frequency such as annual, perpetual, biannual etc. How often a competition is held.

II. Participation Channels
This is how participants join the design competition. Covers communication and submission channels.

Website ________________________ Domain or URL where the competition would be hosted if already defined.
Platform ________________________ Competition management platform such as the A’ Design Awards’ Design Leauge.
Contact ________________________ Contacts information, usually website contact form for database managed responses or email address.

III. Competition Brief
This is the information shared by the award participants regarding their entries.

Brief ________________________

We will help you create the competition brief that will be available for participants to provide them restrictions, opportunities, and guidelines for entry for an hourly rate as defined in this agreement.

Categories ________________________ For each category, we will help you create a category brief, creative text, and a sub logo, for the platform for an hourly rate as defined in this agreement. In addition, we should also list sub-categories or types of work that can be submitted for the category again for an hourly rate. In many cases, there will be only single category.

III. Evaluation Methodology
This is how the entries in the competition are evaluated.

Eligibility ________________________

Who can join with what type of work. Eligibility conditions can limit participants from specific geography, education, age etc. We suggest not to limit participation except for entrants being of legal age.

Jury ________________________ The competition jury should be preferably composed of representatives of Client institution as well as A' Design Awards in addition to academics, press members and other design professionals.
Voting ________________________ How will the entries be voted. The jury could vote online, or could meet together for evaluation. Voting online is cost effective and could actually reduce bias and avoids jury to be controlled.
Method ________________________ How winner is selected. We suggest: 1. Each entry is voted by jury members from 0 to 100. 2 Top participants with the highest score are awarded. - For this reason a percentage of winners or number of award winners shall be decided in advance.

IV. Intellectual Properties
This section defines what happens to submitted work.

Rights ________________________

We suggest Designer keep their intellectual property rights, however designers grants rights to the Client to publish and promote their designs without any obligation imposed on Client.

V. Award Prize
This is what winners, honorable mentions, runner-ups or participants get.

Trophy ________________________

Unique trophy is suggested for design competitions; if you use a crystal or existing trophy it shows you do not respect the entrants. We will design a trophy for you, but Client is reponsible for its production.

Certificate ________________________ Award winner, runner-up, honorable mention, jury and exhibition certificates could be designed. We will design a winner certificate for you, but Client is reponsible for their production.
Yearbook ________________________ Yearbook of entries is a great way to honor winners. We suggest a digital or printed book with ISBN. We will be the publisher for you, but Client is reponsible for the production and costs.
Press ________________________ Press releases, press kit preparation and distribution regarding award participants, as well as pitching media regarding award winning work.
Exhibition ________________________ We suggest organization of an exhibition of all works that joined the competition and received good scores from the award jury. The exhibition posters are prepared by A' Design Award, but Client is responsible for exhibition setup, installation, space and printing etc.
Gala ________________________ We suggest organization of a gala-night with winner designers and runner-ups of the competition. The gala program is prepared by A' Design Award, but Client is responsible for its execution as well as space allocation etc.
Logo ________________________ A winner logo could be designed. "X Design Award Winner" to be given to award winning designers to incorporate to their marketing colleteral, CV or websites.

VI. Award Timeline
Deadlines for entries, registrations, save the dates etc.

Entries Open ________________________

When the competition would start accepting entries. We need a bit of time to prepare the platform as well as design of deliverables and graphic language.

Call for Entries ________________________ We suggest there would be 3 call for entries, first, second and last, with 3 months intervals to keep designers interested about the competition.
Extension ________________________ The deadline shall be extended for sure as a part of the design of the competition to ensure a significant number of additional entries to be submitted the last days.
Judging ________________________ Deadline for entries shall be the same date judging starts, at this day entries are locked and jury members start voting by evaluating entries.
Results ________________________ This date is when the results are public. Sometimes it is better to give designers a bit of time to update their presentations post competition.
Deliverables ________________________ These are the dates for gala-night, exhibition, yearbooks or any other items that were promised as a part of the award prize. It is better to indicate them in advance as designers would want to know them.

VII. Award Terms
Terms and agreements of participating in the competition.

Terms ________________________

Clients' legal team is invited to join or review the terms and agreements that would be prepared by the A' Design Awards for Client. Client is reponsible to review and ensure that the participation terms reflect their interest.

VIII. Launching
These items related to the management or building of the competition.

Visuals ________________________

Call for Submission Poster, Invitation for Joining, Website & Banners, Trade Magazine Ads are all created by A' Design Award and Competition with the predefined hourly rate.

Channel ________________________

A' Design Award and Competition creates, configures and tests the participation channel for collection of entries. Client could review and check the prepared platform.

Staff ________________________

A' Design Award and Competition will assign a staff to help the Client Staff. It is suggested that the Client has a dedicated Staff or responsible person for managing the platform.

Quality ________________________

A' Design Award and Competition will register the competition to DesignCompetition.com and provide an assessment of the quality score of the competition and suggest improvements.

Launch ________________________

Advertisement and kick-start is taken care by the Client or A' Design Award based on the competition budget. A' Design Award and Competition will provide a press-release for the competition.

IX. Management
Ongoing support to participants.

Support ________________________

Dedicated or shared staff to be assigned to the project from both sides for providing technical and FAQ based support for participants. A' Design Award suggest creation of a FAQ page so that each question is answered once only.

X. Maintainance
Continuity of the Competition

ROI ________________________

Evaluating Results and Goals Achievement. Client and A' Design Award meets and discusses how to improve the competition for next year, what was the greatest value etc.

Plans ________________________

Client will keep the competition and the communication alive. It is suggested the competition website to be kept alive for at least 5 years after completion.

XI. Indemnity
This section covers the indemnity by the A' Design Awards. Warranties and liabilities are none to the extend permitted by law.

XII. Costs
Depending on the overall structure. Hourly rate is also set here, and hourly rate items cost could be included as a part of a proposal for example.

Additional definitions and details regarding the competition organization are explained in this section.

XIV. Client Info
Information regarding the Client, contact information and other details.
